How to integrate Claude in your SME: a practical 4-step guide

Integrating Claude (Anthropic) in a Portuguese SME without spending on useless tools. Plan selection, concrete use cases, return-on-investment metrics.

If you want to integrate AI in your business and are considering Anthropic’s Claude, this article is for you. No fluff, no “10 tips”, no empty digital transformation promises. Four concrete steps, with real numbers and examples from the field.

Why Claude and not ChatGPT, Gemini or Copilot

Each model has its own strength. The choice depends on the business context:

  • ChatGPT (OpenAI): best plugin ecosystem, image and video generation. Ideal if you already use the GPT Store or DALL·E.
  • Gemini (Google): native integration with Google Workspace (Gmail, Docs, Sheets). Obvious if the whole operation lives on Google.
  • Copilot (Microsoft): integrated with Microsoft 365. Makes sense if Outlook, Teams and SharePoint are the backbone.
  • Claude (Anthropic): better at long-chain reasoning, code, and analysis of long documents. Clearer privacy posture (zero retention by default on paid plans). Writes and interprets Portuguese natively with notable quality.

For a Portuguese SME, Claude has particular advantages:

  1. Well-crafted Portuguese: it writes natural PT-PT, does not mistranslate from Brazilian. It understands nuance (formal vs informal register, legal terms).
  2. Huge context window: Claude accepts up to 200 thousand tokens in a prompt (≈ 500 pages). Perfect for contract analysis, technical documentation, specifications.
  3. No training on your data: by default, Anthropic does not use paid-plan conversations for training. It can be disabled even more explicitly on Team and Enterprise plans.
  4. Claude Code: an official command-line tool for technical automation. You do not need to be an engineer to use it, but it unlocks real power.

If you already have Microsoft 365 deeply entrenched, Copilot may make sense. Otherwise, Claude is the most versatile choice with the smallest trade-off.

Step 1: Identify where AI actually adds value

Not every task deserves AI. Before buying seats, map. A 30-minute exercise with the team:

  1. Which repetitive tasks take more than two hours weekly per person? Typically emails, reports, meeting minutes, translations.
  2. Which decisions depend on reading many documents? Contract analysis, supplier proposals, CV screening.
  3. Where is there a permanent backlog of “things that should be done but nobody has time”? Updating FAQs, internal documentation, social media posts.
  4. Which tasks need quality Portuguese text? Commercial proposals, newsletters, complaint responses.

Organise the result in a 2×2 matrix: value × complexity.

  • High value, low complexity: start here. Email drafts, meeting summaries, translations. Results in days.
  • High value, high complexity: third phase. Automatic legal analysis, workflow automation. Requires integration and time.
  • Low value: leave it alone. The temptation is to automate everything. It does not pay off.

A concrete case we saw: a law firm in Leiria started using Claude for drafts of responses to client emails, not to replace the lawyer, but to save the time of structuring each response from scratch. Thirty minutes per person per day within three weeks. Only then did they move on to contract analysis.

Step 2: Pick the right plan

Anthropic has five tiers. Current prices are at anthropic.com/pricing, but the decision structure is this:

For most Portuguese SMEs, Team is the sweet spot. Three reasons:

  • Administrative control: data stays in the company’s account, not in personal ones.
  • Single billing: one invoice, no expense-report juggling.
  • Simpler compliance: with GDPR, audits are much easier when the organisation is the controller.

If you need to integrate Claude in products you build (chatbots, backoffice automation, batch analysis), go through the API. You pay per token used (≈ $3 per million input tokens on Sonnet 4.6). For exploratory work, $50/month is more than enough.

Rule of thumb: start with Team at five seats. If adoption is real after 60 days, scale. If not, the problem is not the plan.

Step 3: Integrate into daily work

Four fronts any SME can tackle in 30 days, one per week:

Week 1: Communication

  • Commercial email drafts: first response to quote requests, follow-ups.
  • Long thread summaries: recorded meetings, client correspondence, chained support emails.
  • PT ↔ EN translation and review: with Claude, you almost dispense with human translators for internal communication.

Tool: the Claude Desktop app. Each person opens it, drags the email or transcript in, asks. Zero technical setup.

Week 2: Documentation and internal knowledge

Claude’s Projects are an underrated weapon. You load 20 to 50 internal documents (policies, manuals, old proposals, template contracts) and the team asks questions in natural language. Claude answers with citations to the right documents.

Typical cases:

  • Onboarding: a new hire has a “How we work” Project and asks instead of reading 200 pages of wiki.
  • Sales: the salesperson has a Project with won and lost proposals, asks “how did we close case X?”.
  • Finance: expense policy, limits, processes, all in one Project.

Week 3: Code and technical automation

If you have someone with a technical profile (can be the IT lead, can be a manager with curiosity), Claude Code changes life:

  • Maintenance scripts nobody has time to write (database cleanups, exports, scheduling).
  • Ad-hoc SQL queries for reports the ERP does not produce.
  • Code review before push.
  • Documentation of legacy code nobody understands.

You do not need to be an engineer to use it. You need to know how to describe what you want.

Week 4: Document and data analysis

  • Long PDFs: Claude accepts documents up to roughly 100 pages. Contracts, reports, specifications. Questions in EN, answers with references to the sections.
  • Spreadsheets: drag the CSV, ask “which clients grew more than 20% this year?”, get the answer in seconds.
  • Comparative analysis: three supplier proposals, ask “what are the material differences?”. Saves an afternoon of reading.

Step 4: Measure the return

Without measurement, AI adoption dies within two months. You have to treat Claude like any other SaaS: with KPIs.

Monthly (light measurement):

  • Adoption: percentage of staff who used it more than three times in the week.
  • Time saved: two-question internal survey: “did you use Claude this week? How much time do you estimate it saved you?”.
  • Quality: qualitative feedback. Was there any output used directly, without rework?

Quarterly (decision):

  • Total cost: seats × $30 + API usage. For 10 people, that is $300/month.
  • Estimated return: time saved × average hourly salary.
  • Decision: scale, maintain, adjust, or discontinue.

Rule of thumb: if more than 60% of the team uses Claude more than three times a week after 60 days, adoption is real. If less than 30% use it, the problem is in onboarding or in the choice of initial tasks. Rarely Claude itself.

Realistic time saved for office tasks: 3 to 6 hours per person per week by the end of the second month, assuming moderate use and well-chosen tasks.

Conclusion

Claude works well for Portuguese SMEs. It is not magic, it is a tool. Like any tool, it needs three things to pay off:

  1. The right problem choice: not every task deserves AI.
  2. Gradual integration: one front per week, with visible quick wins.
  3. Honest measurement: not inflating results, not giving up on initial frustration.
